However, with additional recipients, changing quantities or narrow delivery windows, this becomes a permanent task for scheduling.

Recurring pallet shipments can be better organized if not just the next trip, but the entire process is planned. This includes reliable shipment data, coordinated loading conditions and rules for anything that deviates from the norm.

What can be standardized for regular pallet shipments

The starting point is one transport profile for each route. It records on which days goods are shipped, the usual shipment volumes and when the shipment should arrive at the recipient. The statement “three pallets per week” is rarely enough. Three low, stackable pallets place different demands on the vehicle than three high, fragile load units.

Loading windows are just as important as the route

A vehicle can arrive on time and still wait a long time because the goods are still being picked. Conversely, early provision is of little help if the receiving department at the destination is already closed.

Therefore, coordinate three times: the readiness for transport, the pickup window and the acceptance window. Also take into account the time for loading, document checking and unloading.

A complete process also includes fixed information about access and loading aids. Is there a forklift or ramp at both locations? Is a tail lift required? Who can be reached if the driver cannot find the right loading point? Such questions should be clarified before the first appointment.

Expressly regulate pallet exchange and return

The goods have arrived, but the load carriers are missing: With regular shipments, an unclear pallet cycle can quickly cause additional coordination effort. Determine whether pallets remain with the recipient, are exchanged directly or are returned collectively.

Quantity changes need a simple reporting method

A fixed process must not mean that every additional pallet becomes a special case without responsibility. What makes sense is an agreed standard quantity, a coordinated handling of excess quantities and a deadline for reporting changes.

Example planning: A supplier ships four pallets on Tuesdays and Thursdays. Before the campaign weeks there can be six. Instead of only determining the excess quantity when the vehicle arrives, the warehouse reports the changed requirements by the agreed time. The transport partner then checks the required capacity and confirms the adjustment.

The same principle applies to canceled shipments. If you report cancellations and changes in quantities early, planning is made easier and you avoid unnecessary journeys.

Compare transport offers on the same basis

A price per trip means little if the offers contain different services. Check which quantity and which time windows were calculated and how additional stops, waiting times, loading assistance or returns are handled.

Also compare the internal effort: How many queries arise? How often are shipment data missing? How much time does the invoice verification take? A well-organized process can reduce this work; However, a general cost saving cannot be derived from this.
